How to Make a Reservation
1. Availability:
Check our Dates & Rates page to see the dates, rates and discounts that are available.
2. Contact Us:
To ensure we have all the information we need to effectively respond to your request, please fill out our Reservation Request form.
Alternatively, you can call us with the following information:
- Your phone number and good times to reach you
- Your preferred dates and which villa you would like to rent
- Number in your party
- Your email address
If the dates are available we will email you a confirmation of dates and payment instructions.
3. Payment:
A deposit of 50% of the total amount of the rental including 12.5% hotel tax is required to confirm your reservation. We accept PayPal, credit cards via PayPal, and personal checks.
IMPORTANT: If we have not received a deposit payment within 7 days your reservation will be cancelled.
The balance of the rental amount and tax is due 60 days prior to your arrival. Please mark that date on your calendar.
After we receive your deposit we will email you a notice of receipt of payment.
4. Other Travel Information:
If possible we suggest that you choose a flight that arrives in the afternoon to allow for travel time to St. John, picking up your vehicle and a leisurely check in at the house.
We suggest that you schedule your departure flight time from St. Thomas no earlier than 8:00 AM to allow time to catch to the 6:00 AM ferry and taxi to the airport, unless you intend to stay on St. Thomas the night before your flight.
Once you have this information please fill out our Additional Reservation Information form to notify us of:
- Your airline, flight number, arrival time on St. Thomas and your departure time from St. Thomas.
- Your vehicle reservation. See our detailed car rental instructions. Let us know if you need assistance in making a vehicle reservation.
- Trip Insurance (see below).
- Accommodations prior to arrival at Could Nine villas, if applicable.
Policies
For cancellations for ANY reason more than 60 days prior to arrival, there is a cancellation fee of 50% of the total rental. For cancellations 60 days or less prior to arrival, there is a 100% cancellation fee on the total rental. If we are able to re-rent the villa for the entire rental period, there will be no cancellation fee, but a 10% administration fee will apply on the total rental. No deposits will be refunded unless a replacement rental is obtained.
Trip Cancellation Insurance is strongly recommended to prevent loss due to sickness, hurricane, airline failure, or unforeseen events which force you to change your plans. If you choose not to obtain trip cancellation insurance, please familiarize yourself with our Cancellation Policy.
Check in/check out: Our check in time at the villas is 3 PM, and checkout time is before 10AM. This time is necessary to adequately clean and prepare the home for incoming guests.
No Smoking is allowed in our villas.
Additional Guests: If you decide to bring more people you must let us know in advance so that we can prepare the bed. Please make payment in advance or upon arrival.
Housekeeping/Maid Service: All homes are thoroughly cleaned prior to your arrival. There are plenty of towels and linens, and laundry facilities are at your disposal at the villa. On all stays of one week or less, no additional housekeeping services are provided. If you are staying 10 days or more, one additional cleaning will be offered per week at no additional charge. However, more frequent maid services are available to our guests at an additional charge.
Noise: Please be respectful with regards to noise at your rental villa. Please think about your neighbors, some are on vacation too, but others are going to school or work the next day! St. John has an island-wide sound ordinance that requires loud noise and music to be ended by 10PM.
Note on large gatherings: Any event (wedding, reception or party), in a Cloud Nine Villa that would include more than the registered number of guests must be discussed with the management at the time of booking.
